Send an email to an employee
FollowYou can send an email to employees directly from the platform. The message will be tracked in the email history under Other > Sent mail.
To send an email to an employee, you must have the right "All products: Send email from the platform" assigned to your user or user group (see also Create a user group, Add a user to a group).
The steps to follow are:
- Open the employee list from the Employee database
- Select one or more employees by ticking the corresponding checkbox
- Click Actions > Send Email
- Fill out the form by entering the subject and message text
- Click Send Email
You can also perform these operations from other sections such as requests, attendance, course enrollments, etc.
The email form includes the following fields:
- Sender: enter the sender's email address; by default, it is filled in with the current user’s email
- Recipient: select the field containing the email address to which you want to send the message, such as the employee’s or their manager’s email
- Priority: choose the email priority (High, Normal, Low)
- Template: click Select > Other templates to choose an email template you can customize and send
- Subject: specify the subject of the email

Email format: choose between HTML or Plain text. If you use HTML format, you can edit the message content directly using the text editor in your browser. Click the arrow at the top right
to expand the editor. You’ll find basic formatting options such as Bold, Italic, and Text color.
- Message body: the main content of the email (see below)
Advanced settings:
- View: used to generate the email fields for the recipient and the available labels for the message text.
- iCalendar configuration: includes fields that allow you to integrate the email into your messaging or calendar application (depending on your company’s setup).
If you need more space to edit your message, you can expand the text editor using the Maximize button in the bottom-right corner.
To make communications faster and more consistent, you can use predefined templates. Email templates can include various labels that the platform automatically replaces with the employee’s data.
You can write a custom email, or use one of the existing templates.
Email templates are designed to help you quickly send standardized replies to employees. You can find them under Settings > Application > Email templates in the main menu. See also Create a new email template.
