Holidays Calendar
FollowThe Holidays Calendar is a system codification that allows Altamira Attendance to process public holidays within employees’ attendance records. The calendar is first configured under Codifications > Holidays Calendar and then associated with each employee’s Shift Plan. It is essential that the calendar be updated to the current year to ensure correct attendance processing.
When the account is first activated, a default calendar is already configured with the main recurring holidays. The system will automatically replicate the calendar for the following years, but this automation can be disabled if manual adjustments are needed. The calendar form contains the following fields:
- Name: descriptive name of the calendar (e.g. Holidays Calendar)
- Active: if checked, activates the calendar, making it available for use in employee shift planning
- Do not replicate the days of this calendar: check this option to disable the automatic replication of holidays for subsequent years
- List of all Days
Disable automatic replication for the entire calendar
To disable automatic replication of the entire calendar for the following year:
- Go to Settings
> Application > Codifications
- Search for Holidays Calendar in the quick search bar or scroll through the list
- Click on the existing calendar name
- Check the option Do not replicate the days of this calendar
- Click Save
Disable automatic replication of specific days
To disable automatic replication for an individual day:
- Go to Settings > Application > Codifications
- Search for Holidays Calendar
- Click on the existing calendar name
- Click on a specific Day
- Check the option Do not replicate the days of this calendar
- Click Save
- Remember to manually add the holiday for the following year (e.g. variable holidays like Easter)
If automatic replication is disabled, you can manually edit holidays or create new ones.
Create a new calendar manually
- Go to Settings > Application > Codifications
- Search for Holidays Calendar
- Click on the existing calendar name
- Click Actions > Copy from previous year
- Verify that the destination year is correct
- Edit the days as needed for the new year
- Click Copy
Edit existing holiday days
- Go to Settings > Application > Codifications
- Search for Holidays Calendar
- Click the calendar name (e.g. Holidays Calendar)
- Select the holiday date you want to edit
- Make the necessary changes
- Click Save
Add new holiday days
- Go to Settings > Application > Codifications
- Search for Holidays Calendar
- Click the existing calendar name
- Click New Day
- Fill in the required fields:
- Name: name of the holiday (e.g. Saint Ambrose)
- Date: date of the holiday (format dd/mm/yyyy, e.g. 07/12/2022)
- Reason: select the “National Holiday” reason
- This day is a holiday: if selected, the system will always apply the “Holiday” presence model specified in the shift cycle. Otherwise, the standard, Saturday, or Sunday model will be used.
- Location: select the company site (see the section below on managing locations)
- Do not replicate this day: check this to disable automatic replication for variable holidays (e.g. Easter)
- Click Save
Manage holidays by company location
If the Location field is empty, the holiday will apply to all sites. Otherwise, the following cases can be managed:
- Different holidays for specific company sites
If each company site has its own holidays, create separate holiday entries for each location:
- Go to Settings > Application > Codifications
- Search for Holidays Calendar
- Click the calendar name
- Click New Day
- Fill in the fields and specify the Location
- Click Save
Example: (Day: 07/12/2022 Saint Ambrose – Location: Milan; Day: 29/06/2022 Saints Peter and Paul – Location: Rome)
- Same holiday for multiple locations (but not all)
If multiple locations share the same holiday, create multiple days with the same date and assign each to a different location. Attendance processing will assign the correct holiday based on the employee’s assigned location in the organizational chart.
- Go to Settings > Application > Codifications
- Search for Holidays Calendar
- Click the existing calendar name
- Click New Day
- Fill in the fields and specify the Location
- Click Save
- Create another day with the same date but a different Location
- Click Save
