Configure a presence range
FollowTo configure a new attendance slot:
- Go to Settings
> Application > Codes > Attendance model
- Select the attendance model in which you want to add the new time slot
- Click on New attendance
- Fill in the form with the necessary details
- Click on Save
The form is divided into three sections:
ORDINARY DAYTIME PRESENCE SLOT (ORDI)
- Cause: select the cause Ordinary Daytime Presence (ORDI)
-
This slot is considered only if there is an approved request with this cause: if set, this slot is considered only if there is a presence request with the specified cause within the configured period.
Note: The cause applied to the slot and visible in the causals report of the day will be the one set in the "Cause" field (previous point) - Slot division of the daily model: indicates if this slot continues the following day or if it is the continuation of a slot started the previous day. Go to the article
- Maximum duration (hours/minutes): this is the maximum duration of ordinary work hours. The system will not assign any additional presence hours beyond the specified duration limit, even if the employee exceeds the ordinary working hours. If left empty, there will be no limit to the maximum duration of working hours. This option is typically used when schedules are set in weekly or monthly cycles rather than daily.
- Minimum duration (generates anomaly if not respected): enter the minimum number of hours of ordinary work that the employee must perform. If not respected, the system will generate an anomaly.
- Minimum slot creation duration: the system will create the time slot only if the specified duration is reached.
-
Duration rounding: the total presence hours will be rounded to the duration you enter in this field.
Reduces the duration by anticipating the end of the slot (calculated after rounding the 'Start/End time rounding' field)
-
Type of rounding: rounding can be of various types. It is applied to the duration regardless of the start or end time.
- Excess: rounds the time upwards based on the entered minutes, thus postponing the time of the clocking-in.More details
- Deficit: rounds the time downwards based on the entered minutes, thus anticipating the clocking-in time
- Mathematical: automatically applies rounding up or down considering half of the entered minutes as rounding. For example: if the rounding is 10 minutes, the system considers half of that, i.e. 5 minutes. If an employee clocks in from minute 0 to minute 5, the rounding is applied downwards, whereas from minute 6 to minute 10, it is applied upwards.
- No rounding: select this option if no rounding is required for the time slots.
-
Start/End time rounding: enter a duration in hours/minutes.
The duration entered here allows you to round the start or end time of the time slot.
Postpones the start of the slot based on the "From" value (see below).
Advances the end of the slot based on the "To" value (see below)
- Continuous duration: check this box if the employee needs to complete ordinary work hours without interruption.
ENTRY
- Clocking-in accepted from: the time from which the employee can start clocking in for entry.
- Next day: check the box if the time refers to the next day (i.e., if the working hours go beyond 23:59 of the current day)
- Grace period (Start slot accepted from): you can enter the grace minutes you want to grant the employee for clocking in. The grace period applies only to the accepted entry time slot, meaning it does not go beyond the time specified in the clocking-in accepted from field. The grace allocation is visible in the causals report in the attendance book (see alsoAttendance Book: consultation and filters)
- Clocking-in accepted by: the maximum time by which the employee must clock out
- Next day: check the box if the time refers to the next day (i.e., beyond 23:59 of the current day)
- Grace period (Start slot accepted by): you can enter the grace minutes you want to grant the employee for clocking in. The grace period applies only to the accepted entry time slot, meaning it does not go beyond the time specified in the clocking-in accepted by field. The grace allocation is visible in the causals report in the attendance book (see also Attendance Book: consultation and filters)
If the entry time has no flexibility, the time in the Clocking-in accepted from field will match the time in the Clocking-in accepted by field.
Example: if an employee can clock in between 8:30 and 9:30 (i.e., they have a 1-hour flexibility on entry) and has a 5-minute grace period, the entry configuration will be as follows:
Clocking-in accepted from: 08:30
Clocking-in accepted by: 09:30
Grace period: 5
EXIT
- Clocking-out accepted from: the time the employee can start clocking out
- Next day: check the box if the time refers to the next day (i.e., if the working hours go beyond 23:59 of the current day)
- Grace period (Start slot accepted from): the grace minutes that can be granted to the clocking-out times
- Clocking-out accepted by: the latest time the employee can clock out
- Next day: check the box if the time refers to the next day (i.e., beyond 23:59 of the current day)
- Grace period (Start slot accepted by): the grace minutes that can be granted to the clocking-out times
- If the exit time has no flexibility, the time in the Clocking-out accepted from field will match the time in the Clocking-out accepted by field.
Example: if an employee can clock out between 17:30 and 18:30 (i.e., they have a 1-hour flexibility for exit) and has no grace period, the exit configuration will be as follows:
Clocking-out accepted from: 17:30
Clocking-out accepted by: 18:30
