Configure a lunch break Slot
FollowThe lunch break slot is an absence-type slot. To configure a new lunch break slot:
- Go to Settings
> Application > Codifications > Attendance Model.
- Select the attendance model in which you want to insert the new lunch break slot.
- Click New Absence.
- Fill out the form with the required details.
- Click Save.
The form is divided into three sections:
ABSENCE SLOT
- Reason: Select the reason Unrequestable Absences / Lunch Break (PAUSA).
- Unused period reason: Optional field to define an alternative reason if the break is not taken.
- Maximum duration (hours/minutes): The maximum allowed duration for the lunch break.
- Minimum duration (triggers anomaly if not met): The system will generate an anomaly if the employee does not respect the minimum break duration.
- Minimum duration for slot creation: The system will create the lunch break slot only if this minimum duration is met.
- Duration rounding: The total duration of the lunch break will be rounded to the value entered here.
Reduces duration by anticipating the end of the slot (calculated after rounding of the “Start/End time rounding” field). - Duration rounding type: Choose how the duration rounding should work:
- Up (Eccesso): Increases duration by delaying the end of the slot.
- Down (Difetto): Reduces duration by anticipating the end of the slot.
- Mathematical: Adjusts duration to the nearest value.
- No rounding: Keeps the exact duration.
- Start/End time rounding: Allows rounding of the break’s start or end time.
Delays the start based on the “From” value and anticipates the end based on the “To” value. - Requires clock-in: Check this box if employees must record an entry and exit for their lunch break.
START
In this section you can define the flexibility of the lunch break start time.
- Accepted start time from: The earliest possible start of the lunch break period.
- Accepted start time to: The latest possible time the employee can start the break, considering the maximum duration and end time.
- Next day: Check this box if the times refer to the next day (i.e., past 23:59).
- Early start: Number of minutes allowed before the “Accepted start time from.” If a clock-in falls within this range, it is considered valid for lunch break and a slot is generated using the “Reason to assign in case of early start.” This option works only if “Requires clock-in” is enabled.
- Reason to assign in case of early start: Specify the reason to apply for the early start period.
END
In this section you can define the flexibility of the lunch break end time.
- Accepted end time from: The expected end time of the break, based on the start time and total duration.
- Accepted end time to: The latest possible end time for the lunch break.
- Next day: Check this box if the times refer to the next day (i.e., past 23:59).
- Delay: Number of minutes allowed after the “Accepted end time to.” If a clock-in falls within this delay, it is considered valid and a slot is generated using the “Reason to assign in case of delay.” Works only when “Requires clock-in” is active.
- Reason to assign in case of delay: Specify the reason to apply for the delayed period.
Example: If an employee can take a lunch break between 12:30 and 14:00, with a minimum of 30 minutes and a maximum of 1 hour, the start and end slots should be configured accordingly:
