Compilation of employee balance with annual accrual
FollowFilling in the employee’s balance sheet using the annual accrual allows the employee to have a certain number of hours or days available for that specific counter group.
- Assign the Counter Group to the causale that will be linked to the calculation of a specific balance. See also Configure an absence causale
- Access the Employees Database
- Click on the Detail of the Absences section
- Under the Balances section, fill in the fields as follows:
- Last update date: indicate the date from which this counter group starts tracking requests. e.g. 01/01/2022
- Annual accrual: indicate the number of hours or days the employee will have available during the current year. e.g. 160
- Previous year holidays: optionally, indicate the number of hours or days remaining from the previous year. e.g. 20
Note: if these fields are not available, they must be added to the employee record.
Balances will be calculated based on the Quantity indicated in the requests and, if the Time & Attendance module is active, based on the daily processing.
The calculation will therefore be made using the following formula:
- Balances (calculated in the platform): Previous year + Accrued (from payslip) + Accrued (calculated in the platform) − Used (from payslip) − Used (calculated in the platform)
- Expected balance at year-end: Previous year + Annual accrual − Used (from payslip) − Used (calculated in the platform) − Planned for the year
Note: The formulas above include fields not automatically calculated by the platform: Previous year, Accrued (from payslip), Used (from payslip).
These can be filled in manually or imported from a payroll system.
