Managing tasks and meetings
FollowManaging tasks and meetings is central to the recruiting process and Altamira Recruiting provides a sophisticated and highly customizable environment for this.
In Altamira Recruiting tasks and meetings are referred to as activities. Activities can either be directly entered by recruiters or scheduled for a later date. Activities can also be assigned to other platform users or to users completely external to the platform who become involved in the recruiting process without requiring back office access or specific training.
Data entering activities
You can enter an activity if you or another user have already completed the activity and wish to track this in the platform. For example if you have just interviewed a candidate and wish to track the outcome of that interview you can data enter this information by creating a new activity.
To create a new activity:
- Open the CV list of a vacancy, project or the CV Database
- Search for the candidate using the Quick search field or the Advanced search form
- Select one or more CVs
- Click on New > Meeting or New > Task menu and select an activity that you want to create
- Click on the Data entry link
- Fill in the form as necessary
- Click on Save
The activity is considered completed when the outcome has been selected. If the activity is connected with a workflow the candidate will be moved to another status according to the rules defined by the administrator.
In data entry mode no emails are sent to the candidates or to platform users.
Activity forms are completely customizable so the fields used for the assessment will depend on the configuration you administrator has designed.
Scheduling activities
You can schedule an activity if it takes place in the future. For example if you have just spoken to a candidate and agreed on an interview date and time you can schedule a meeting on the platform. Scheduling a meeting helps you by sending you an email invitation that integrates with your calendaring solution. The meeting request will also contain a link so that you can quickly assess the candidate once the meeting has taken place.
To schedule a task or meeting for a future date:
- Open the CV list of a vacancy, project or the CV Database
- Search for the candidates using the Quick search field or the Advanced search form
- Select one or more CVs
- Click on New > Meeting or New > Task menu and select an activity that you want to create
- Click on the Assign/ Schedule link
- Enter the Due date if it is a task or the Start date and End date if it is a meeting
- Click on the Send or the Send and exit button
Activities are used throughout the Altamira HRM platform so the people assessing are referred to as recipients and the people to be assessed in activities are generically referred to as participants. In Altamira Recruiting recipients are recruiters or managers assessing candidates and participants are the candidates.
When you assign or schedule an activity:
- The platform sends an email to the recipients even if you are the recipient
- The platform sends an email to the participants if the Notify participants\Send mail has been checked
If the activity has been configured by your administrator to use the iCalendar format you will receive an email that can integrate with your messaging or calendaring application (this depends on the products in use in your organization).
