Configure an attendance reason
FollowTo create a new attendance reason:
- Go to Settings
> Application > Codes.
- Select the Reasons code list. You will see a tree view of all existing reasons on the left and the properties page on the right.
- Click on the parent folder name (Reasons) and then click the New button on the top command bar.
- A panel will appear on the right labeled New item. Replace the label with the name of the new reason and fill in all required fields:
- Name: descriptive name of the reason.
- Code: code or abbreviation that will appear in the employee’s attendance book.
- Type: select the type Attendance.

Unit of measure: choose the applicable options:
- By days: if the request can only be made for full days.
- By half-days: use only if you have the Altamira Vacation & Leave module without the Attendance module. Do not use this if the Attendance module is active — in that case you can select “by hours” or both “by days and hours”.

By hours: if the request can only be made by hours.
Note: it can be selected simultaneously with days or half-days.
- Ignore rest days: if checked, the reason will be applied even when clock-ins are present (the reason overrides rest days).
- Requests made with this reason consider absence and overtime slots set in the day model: if selected, the system automatically distinguishes lunch breaks and overtime from regular working hours.
- Meal vouchers added through this reason: enter the number of meal vouchers to be added when this reason is used.

Do not generate any meal vouchers if this reason is present
If this reason is selected for the day or through a request, no meal voucher will be generated.
(Configure a reason to block the generation of meal vouchers) - View: select a specific form view for this reason (or keep the default one).
- Print: choose the print layout to be used for activities related to this reason. If not selected, the system will use the default one configured in the activity setup.
- Counter group: determines which counter (e.g. Vacation, Leave, or generic Counter 01) will be updated based on this reason’s requests or occurrences in the attendance book.
- Minimum notice (days): specify the minimum number of days required to submit the request.
- Do not allow requests if notice not respected: blocks requests made after the notice period. You must also select a validation status for this option to work.
- Status for notice validation: defines the request status where notice validation takes place (usually the initial request status).
- Available for: make the reason available to All employees or only to those matching a specific Access filter group.
- Visible in clock-ins: allows associating this attendance reason with clock-ins (see article).
- A clock-in with this reason requires an approved request, otherwise an anomaly is generated: ensures that clock-ins with this reason are valid only if an approved request exists (see article).
- CustomerID: unique arbitrary code used for importing/exporting reason data between Altamira and other systems.
- Payroll reason code: enter the payroll system’s reason code provided by your payroll office.
- All fields in the Export attendance for payroll section are additional data required for transferring attendance data to payroll systems (refer to your payroll software documentation).
- Click Save. The new reason will now appear in the list of justifications available to employees when requesting absences or presences.
