360° Evaluation: Configuration
FollowThis article explains how to prepare the system and 360° evaluation projects. To learn how to use a project, read 360° Evaluation: Overview and Features.
Before you start
- Product: the 360° product must be active, together with the core products for evaluation projects (Performance/PMP).
- Configuration permissions: you need Read and Write permissions for the Settings security object.
- Project permissions: to create a project, you need the New permission for Evaluation Projects. To edit the questionnaire and save the dashboard layout, you need the Write permission or the Manage evaluation projects right.
Configure the system in this order:
- Create the 360° PMP type and specify who the evaluators are.
- In the project type, specify which workflow statuses trigger the surveys.
- Check the workflow statuses.
- Create the project, build the questionnaire, and set the dashboard layout.
1. Creating a 360° PMP type
The PMP type determines what the evaluation looks like.
- Go to Settings → PMP Types.
- Click New.
- For the type, select 360° instead of Standard.
- On the Basic data tab, complete the fields:
- PMP type name
- Active
- Type: already set to 360° and cannot be changed
- Form
- Evaluators
- Click Save.
Tip: in the list of PMP types, a column indicates whether each type is Standard or 360°.
Selecting evaluators
In the Evaluators field, select one or more hierarchical groups, such as direct reports, peers, or HR.
For each employee being evaluated, the system automatically finds the people who belong to the groups you selected and creates a survey for each of them.
2. Determining when surveys are sent
Surveys are sent when the evaluation reaches specific workflow statuses.
- Go to Settings → Project Types.
- Open the project type linked to the 360° PMP type.
- In the Status in which surveys will be sent field, select one or more statuses. The field:
- appears only if the selected PMP Type is 360°
- is required
- lists the statuses of the Workflow specified on the same tab
- Click Save.
3. Checking the workflow statuses
For each workflow status, on the Basic data tab, you will find the Send surveys (only for 360°) option. The option appears only in PMP-type workflows.
The option and the project type field are linked. If you activate the option for the status, that status appears selected in the project type. If you select the status in the project type, the option is activated for the status.
Attention: if the workflow is used by a 360° project type, it must always have at least one status with survey sending enabled. If you try to deactivate the last one, saving is blocked and an error message appears.
4. Preparing the 360° project
What happens when you create the project
- When you create the project, the system immediately creates a survey for each evaluator. All surveys have the Queued status, and no email is sent yet. This allows you to check the recipients on the Surveys tab before sending.
- When the evaluation reaches one of the sending statuses you configured, the emails are sent automatically.
Note: the list of automatically created surveys cannot be modified. You cannot manually add or remove recipients.
Building the questionnaire
- Open the project from Performance → Evaluation Projects.
- Go to Properties → Editor.
- Enter the questions, response scales, and any text.
There is one questionnaire for the entire project, and all evaluators complete it. The project’s general information is available instead on the Information subtab.
Customizing the dashboard layout
- Go to Properties → Results Preview.
- For each chart, choose the display type, such as Bar Chart or Word Cloud.
- Choose the response order, such as Default Order.
- To change the order of the charts, drag them using the handle.
- Click Save Layout.
To return to the initial arrangement, click Restore Default Layout.
Important: the layout is shared. The arrangement you save or restore applies to all users who can view the project. However, the filters each user applies from the dashboard apply only to that user and are not saved.
If the 360° product is not active
- 360° projects do not appear in the list of evaluation projects.
- 360° PMP types and project types do not appear in the lists, and you cannot create new ones.
- Evaluators can still complete, using the link received by email, surveys that have already been sent.
