Importing the Coding Matrix Linked to Roles
FollowUse this procedure to bulk associate codings (equipment, medical checks, training courses, risks, etc.) with roles using an Excel file in matrix format. This helps you record data faster, reduce manual input errors, and maintain consistency and traceability in line with system rules.
1. Prepare the Excel File
- Prepare an Excel file with a single sheet, without headers and without empty rows/columns in the matrix.
- Set up the structure:
• Rows (from A2 onward): the codings (e.g., Risk1, Equipment1, Check1, Course1…).
• Columns (from B1 onward): the roles (Role 1, Role 2, …).
• Coding/role intersection cells: enter the value required by your rules (e.g., “X” to associate).
Note: do not insert empty rows without a coding.

2. Start the Import
- Access the role coding area. Go to Employees or Performance and select Roles.
- Open the tab of the coding you want to import.
You can import:- Courses and Learning Plans
- Skills
- Under the Other tab: Equipment, Medical Checks, Risks
Module requirements (mandatory):
- Courses and Learning Plans → Learning module active
- Skills → Employees or Performance or Learning module active
- Equipment, Medical Checks, Risks → Employees module active
- Click the three-dot menu (⋮) > Import
- Select Analyze the file without importing for a preliminary check:
• Let the system validate formats, detect errors, and flag unrecognized roles/codings
• Review messages in the Log and correct the file if needed - When everything is correct, deselect Analyze the file without importing and click Import.
Note: the operation only affects existing codings. When applicable, imported codings are propagated to employees or evaluations linked to those roles/risks, following the same rules as manual assignments.
Tips
- For large imports, always start with the file analysis step to avoid partial or erroneous imports.
