360° feedback evaluation
Follow360° feedback evaluation lets you collect multiple assessments of the same employee from different actors (manager, peers/colleagues, HR and self-assessment), giving you a complete and balanced view of their performance. Unlike a standard evaluation project, a 360° project is based on a questionnaire/survey sent to the evaluators and on a dashboard that aggregates and compares the collected responses.
Configuring a 360° PMP type
The PMP type defines the structure of the evaluation. Go to Settings → PMP Types.
- Click New and choose the 360° typology (as an alternative to Standard).
- In the PMP types list, a column shows the typology (Standard or 360°) of each row.
- On the Base data tab a 360° PMP type shows a reduced set of fields: PMP type name, Active, Type (read-only, set to 360°), Mask and Evaluators.
The Evaluators field
The Evaluators field defines who evaluates: select one or more hierarchical groups (e.g. direct manager, colleagues, HR). It supports multiple selection. For each evaluated employee, the system identifies the evaluators by expanding the selected hierarchical groups.
Defining when surveys are sent
Sending of 360° surveys is governed by the project workflow: surveys are sent when the evaluation reaches specific statuses.
- In the Work order type linked to the 360° PMP type (Work order types section), fill in the Status in which the surveys will be sent field. The field is shown only when the selected PMP type is 360°, is mandatory and supports multiple selection; it lists the statuses of the Workflow selected on the same form.
- On the individual workflow status (Status, Base data tab) there is the Send surveys (only for 360°) option, shown only for PMP workflows. Its value stays synchronised with the selection made on the work order type (in both directions).
Warning: you cannot remove the last status with survey sending enabled if the workflow is used by a 360° work order type: the save is blocked with an error message. At least one sending status must always remain.
The 360° evaluation project
Open a 360° project from Performance → Evaluation projects. The project is organised into the following main tabs:
- Summary – the dashboard that aggregates the results of all the project's surveys.
- Properties – the project settings, the questionnaire editor and the results preview.
- Evaluations (with the count beside it) – the list of evaluations.
- Surveys (with the count beside it) – the list of all the individual surveys in the project.
Summary (results dashboard)
The Summary tab shows the aggregated results through charts. As long as no survey has been completed, a message reporting the absence of data is shown instead of the dashboard.
You can filter the results directly from the charts: click an element (a bar, a chart slice or a value) to see only the matching data. The filter applies to the whole dashboard. To clear it, click the same element again or use the Clear filter button.
These filters are personal and temporary: they apply only to you, are not saved and are reset when you reload the page or leave and re-enter the project.
Properties
The Properties tab is organised into three sub-tabs:
- Information – the general project data.
- Editor – where you build the questionnaire that all evaluators will complete (questions, answer scales and any texts). The questionnaire is unique to the project.
- Results preview – where you customise and save the layout of the results dashboard (see the dedicated section below).
Evaluations
The Evaluations tab lists the project's evaluations: one row for each position of the evaluated employee. The same employee can therefore appear with more than one evaluation if they hold multiple positions/roles: evaluators, surveys and results can differ depending on the position (a person may be very strong in one role and less so in another). This is why surveys are grouped by evaluation.
For each evaluation you see the status (of the evaluation in the workflow), the name and role of the employee in that position, the manager with their role, and the count of completed/total surveys. You can filter the list by evaluation status.
Opening an evaluation you find two tabs:
- Summary – the dashboard of only that evaluation's surveys (read-only, with the same interactive, personal filters as the project dashboard).
- Surveys – the list of responses for that evaluation, with evaluator, evaluator role, status, sent date and modified date.
Surveys
The Surveys tab lists all the individual surveys in the project (one for each evaluator of each evaluation). For each row you see the evaluated employee and their role, the evaluator and their role, the sent date, the modified date and the status. You can search and filter the list, including by survey status, to monitor participants' progress.
Clicking a survey opens its read-only detail: the main data (evaluator, status, dates) and the result with the answers provided. If the questionnaire is split across several pages you can navigate them with Next/Previous, and export the single response with Export as PDF.
Customising the results dashboard layout
The way results are displayed in the dashboard is configured from the Properties → Results preview tab.
- For each chart you can choose the visualization type (e.g. Bar chart, Word cloud) and the answer ordering (e.g. Default order).
- You can reorder the charts by dragging them with the dedicated handle.
- Save layout stores the current arrangement.
- Reset layout restores the dashboard to the default arrangement.
Important – the layout is shared. Unlike the interactive filters (personal and temporary), the layout is saved at project level: the arrangement you save (or reset) applies to all users who can see that project.
Layout customisation is available only from the Properties → Results preview tab, therefore only to users who can access the project's internal tabs (Write permission on Evaluation projects or the Manage evaluation projects right). See the Required permissions section.
Survey statuses
The status of each survey indicates its progress. The labels are shown in English in the interface:
| Status | Description |
|---|---|
| Queued | Survey created but not yet sent: it waits for the evaluation to reach the sending status. |
| Dispatched | Transient status: sending has started and the email is being delivered. |
| Sent | The email with the compilation link has been sent to the evaluator. |
| Failed | Sending the email failed. |
| Viewed | The evaluator opened the link but has not yet submitted the answers. |
| Completed | The evaluator submitted the completed questionnaire. |
Deferred survey creation and sending
When the 360° project is created, the system immediately generates the surveys for all evaluators in Queued status, without sending any email. This gives you visibility on the recipients before sending.
The list of automatically created surveys cannot be modified: you cannot manually add or remove recipients.
Emails are sent automatically only when the project reaches the sending-enabled status defined in the workflow. Until then the survey list is purely informational.
Completing the survey
The evaluator receives an email with the compilation link. Completion happens only through this link, on a dedicated page that does not require login. When the link is opened:
- The survey moves to Viewed status.
- The evaluator completes the questionnaire and confirms with the Send button: the action submits the answers definitively (it is not a partial save) and the survey moves to Completed.
- A thank-you message is shown at the end.
- If the link is reopened after submission, a message stating that the feedback has already been provided is shown instead of the questionnaire.
Required permissions
The permissions and rights described below are assigned to your user account.
Configuration (PMP types, work order types, workflows)
To configure 360° PMP types, work order types and workflows you need Read and Write permissions on the Settings security object.
Project access: what you see
What you see when opening a 360° project depends on your permissions on the Evaluation projects object:
- With Write permission (or the Manage evaluation projects right): you access the full project, with all tabs – Summary, Properties, Evaluations and Surveys.
- With Read only: opening the project takes you directly to the Evaluations list and you see only the evaluations you have access to; the Summary, Properties and Surveys tabs are not available.
Creating a new project also requires the New permission on the Evaluation projects object. Saving the dashboard layout requires Write permission on the project.
Survey visibility and editing
In the back-office, surveys are read-only: you can view their results and export them to PDF, but you cannot complete, edit or delete them. Completion happens exclusively through the link received by email, on a dedicated page without login.
A survey's visibility inherits the security of the PMP/evaluation that contains it: you see it only if you have access to the related evaluation. The email-link completion flow, on the other hand, works regardless of the recipient's permissions on the project.
Required product
The feature requires the 360° product to be active, in addition to the base evaluation-project products (Performance/PMP). When 360° is not active:
- 360° typology projects do not appear in the main evaluation projects list.
- 360° entries do not appear in the PMP types and work order types lists, and new 360° types cannot be created.
Surveys already sent remain completable through the link received by email.
