Changing the shift of an employee who already has one
FollowWhen you want to associate a new shift for an employee who already has one, it is preferable to make a copy of the existing shift. In this way it will be sufficient to change only the values that have undergone a variation without populating the card from scratch. The addition of a new shift automatically deactivates the previous one.
Important premises - before associating a new shift to an employee:
- Make sure you have:
- Created the new attendance model and the new time slots
- Created the new attendance schedule
- Associated the new attendance model with the attendance schedule
- Consider the start date of the new shift. If it's a past date, you'll need to follow these steps in the this order:
- Reopen all employee's processed and/or closed days running until the new shift start date (see also Reopen already processed or closed days)
- Associate the new shift with the employee
- Close the days by processing the clock-ins/outs
To associate a new shift with an employee who already has one:
- Click on Attendance > Shifts
- Search the employee's name using the quick search bar or the advanced search form
- Open the shift to deactivate by clicking on the link under the Start date column
- Click on Copy
- Select the validity period by setting only the start date of the new shift. Please note: the start date of the new shift must coincide with the day following the end date of the previous shift, so as not to create overlaps
- Click on Copy
- Return to the shift from the shifts list
- Associate the parameters of the new attendance schedule changing the following fields:
- Attendance schedule: select the new attendance schedule you created for the employee from the drop-down menu
- Start day of the shift cycle: select the day of the week corresponding to the start date of the new attendance schedule. This parameter is fundamental for the correct functioning of the attendance processing
- Holiday calendar: select the company's holiday calendar
- Meal voucher (minimum hours): specify the meal voucher hours if any
- Click on Save
Upon returning to the list of employee shifts, you will see that the new one is active while the previous one is automatically deactivated.
