Assigning a shift to an employee
FollowTo assign a shift to an employee:
- Click on Employees > Employee database
- Open the employee record to which you want to assign the new shift
- Click New > Shift
- Fill in the required fields
- Click Save
For the proper functioning of shifts and the calculation of working days, you must correctly complete the following fields:
- Employee: this field is pre-filled with the employee’s name
- Start Date and Time: the start date must match the employee’s hire date and the start time must be set to 00:00. Warning: if these values are not correct, the days will show as anomalies
- End Date: leave this field blank if the employee has a permanent shift. If the shift is temporary, enter the end date and the time 23:59
- Temporary: check this box only if the shift is temporary and if you have entered the end date in the previous field
- Crew cycle: select the crew cycle to assign to the employee from the dropdown menu. If it is not available, you must first create one (refer to Creating a new attendance schedule)
- Crew cicle start day: this is the day of the week corresponding to the shift start date. For example, if the shift start date is May 4, 2020, you must enter the corresponding day of the week. May 4, 2020 was Monday, so enter Monday. If the shift cycle has the same schedule for all days, simply select the only available model in the dropdown menu (e.g., Standard, Monday – Friday, etc.)
- Holiday calendar: select the holiday calendar configured for your account
- Meal voucher (minimum hours): enter the minimum number of hours required to obtain a meal voucher
- Badge Number: enter the badge number associated with the employee
- Badge Card Number: enter the badge card number, if available
Here is an example of a completed shift. As with many other views, it can be customized according to your company’s needs.
