Learning: Setting Up Training Effectiveness Evaluation
FollowThere are two ways to configure the Training Effectiveness Evaluation:
a) Single questionnaire for all training courses
Workflow
Use an existing workflow for the entity “Training Effectiveness Evaluation” (available by default) or create a new one. (See the guide on Workflows)
- Entity: Select the entity “Training Effectiveness Evaluation”
- Status: Create two statuses — “Sent” and “Completed.” (See also Creating or Editing Workflow Statuses)
- Notification: Create the notification in the initial status. (See also Configure a Notification in a Workflow Status or Outcome)
- Task: Create/configure a task in the status where the evaluation should be sent. (See Configure a Task Associated with a Workflow Status) Make sure the notification includes the link to the questionnaire.
Questionnaire
Configure the form for the course training effectiveness evaluation questionnaire.
The following default questions are available:
- How satisfied are you with this training course? (Rating from 1 to 10)
- How likely are you to recommend this course to a colleague? (Rating from 1 to 10)
- How useful was the provided learning material? (Rating from 1 to 10)
- What score would you give the instructor/trainer? (Rating from 1 to 10)
- What changes would you make to this course? (Open-ended response)
- Any other comments? (Open-ended response)
You can add any other fields, depending on system availability. (See Add a New Field to a Table)
Course/Edition
Configure the course or edition form to display the created evaluations and their results. (See How to Customize a View)
A default view is available for reviewing questionnaire responses. However, you can customize it based on the questionnaire fields, starting from the “Training Effectiveness Evaluation” entity.
b) Custom questionnaire for each training course
Manage multiple questionnaires by configuring different Training Effectiveness Evaluation Types.
- Create separate form views for each questionnaire you want to manage, based on the entity “Course Feedback Task Details.” (See How to Customize a View and Add a New Field to a Table)
- Create a form view to review responses for each questionnaire created in step 1, configured to display answers to the corresponding questions.
- Create a course-level summary form view that gathers all evaluation information, one for each questionnaire created in step 1.
- Modify the course form views by adding the special field “Training Effectiveness Evaluation Summary” to the “Evaluations/Feedback” tab, so it displays the view created in step 3.
- Create a form view that gathers evaluation data for each course edition, one for each questionnaire created in step 1.
- Modify the edition form views by adding the special field “Training Effectiveness Evaluation Summary” to the “Evaluations/Feedback” tab, so it displays the view created in step 5.
- Manage the Training Effectiveness Evaluation Types, creating one type per questionnaire:
- Go to Setup
- Click on “Training Effectiveness Evaluation Types” under the Learning menu
- Create or edit an evaluation type
- Set the field “Form completed by participant” with the view created in step 1
- Set the field “Form showing evaluation results” with the view created in step 2
- Set the field “Course-level Evaluation Summary” with the view created in step 3
- Set the field “Edition-level Evaluation Summary” with the view created in step 5
- Add the field “Training Effectiveness Evaluation Type” to the Training Course form views.
- In all training courses, set the field “Training Effectiveness Evaluation Type” according to the questionnaire to be sent to participants.
Other Settings
For both cases A and B:
Automatic questionnaire delivery
To manage automatic sending, add the field “Automatically send training effectiveness evaluation” to the course form.
Manual questionnaire delivery
Add a button to the course/edition form for manually sending evaluation requests. (See How to Customize a View)
- Modify the course/edition form view or create a copy of the current view.
- Add a button in the “Evaluations/Feedback” tab of the modified view for manual sending: Action: Other actions
Command: Request Training Effectiveness Evaluation
