Lock a view for specific users
FollowIn addition to using form permissions, you can restrict the visibility of specific forms for certain user groups. To lock a view:
- Create or copy the view you want to restrict
- Edit the view and include the desired fields
- Lock the view from the View and Form Configurator by specifying the user group
Example: you want to restrict two different employee record views — one for the Administrators group and one for all employees (Employees group)
- Go to Settings
> Application > Manage Views and Forms
- Copy the system form “Employee Summary” or create a new form with the fields you want for each group. You can name one view Employee Summary Admin and the other Employee Summary Employees.
- Edit both forms, leaving only the fields that each group should be able to view
- Go to Settings
> Application > View and Form Configurator > Actions > View Users/Groups
- Click on Administrators
- Find the Employees section, locate the Form field, and from the drop-down menu select Employee Summary Admin, then check the Lock box and click Save.
- Go back to View Users/Groups (see step 4) and select the Employees group
- Repeat the steps in point 6, but select the form Employee Summary Employees
- Now, employees will only see the data included in Employee Summary Employees, while Admins will see the data in Employee Summary Admin. Employees won’t be able to choose which form to use, but Administrators will have access to both.
Note: The order in which the view visibility is assigned is crucial. You must first set the visibility for Administrators and then for Employees, otherwise Admin users won’t see the correct form. This happens because Administrators are also employees (and therefore part of the Employees group).
