Manage form permissions
FollowThe Permission Management feature of a form allows you to decide who can view or edit tabs, sections, subviews, and fields based on user/group and workflow status (optionally by outcome). Use it to hide sensitive information, set read-only rules after specific workflow steps, or show sections only to HR/managers. If the form is a system form, work on a copy.
- Go to Setup > User Interface > Views and Forms Management
- Open the form:
- If it is not a system form, open it directly
- If it is a system form, when prompted create a copy and work on that copy
- Click Actions > Permission Management
Create/Edit a permission set
- User: choose who the permission applies to
- Dynamic security groups (e.g., All users, Boss, Direct boss, HR Manager)
- Custom groups created by your company
- Specific users (manual selection)
- Workflow: select the workflow available for the form’s table
- Status: choose the workflow status in which the permission is active
- Outcome (optional): a further condition based on the outcome; leave empty if not needed
Click Save
Set read/write permissions
The permission grid of the form opens. For each row (tab, title, field, subview), set:
- Read – what the user can see
- Write – what the user can edit
For each column you can choose:
- Allow: allow the action on the row
- Deny: hide the row or block editing
- Allow all: apply “Allow” to all rows of the current section
- No selection: no explicit rule
Recommended procedure
- First set permissions on containers (Tabs, Titles, Subviews)
- Then refine individual fields (e.g., visible but read-only: Read = Allow, Write = Deny)
- Use Allow all to speed up, then apply exceptions
- Click Save
Order and priority
In Permission Management, use Sort: the sets at the top have higher priority and are applied first.
Verify
- Open the form with a user belonging to the target group
- Check that visibility and editing match the rules
- If needed, refine workflow/status conditions or reorder permission sets
Best practices
- Always copy system forms before modifying them
- Prefer dynamic groups; limit permissions set on specific users
- Remember: a Deny on a single item overrides a general Allow
