Permissions for statuses and outcomes in the workflow
Follow
Statuses and outcomes can be made accessible to all platform users or restricted to specific users (see also Dynamic Security). This allows you to separate their activities — a useful feature both for security and usability, as it limits user operations according to the configured permissions.
Note: Workflow permissions refer to the visibility of the buttons used to assign a specific outcome/status.
To set permissions:
- Click Settings
> Application > Workflow from the main menu.
- Click the status/outcome > go to the Permissions section.
- If you leave the selection on "All users are allowed to access", every user will be able to manage items for that specific status/outcome. If you select "Only specified users can access the items", you’ll need to manage access for individual users.
- Select the Add user button.
- Select the users you want to grant access to by ticking the corresponding checkbox > click Add.
For each user or group, you can specify the following access permissions for the settings or contents of a job posting or project:
Settings
-
View
allows the user to view the item’s settings.
-
Edit
allows the user to edit the item’s settings.
-
Delete
allows the user to delete the item’s settings.
Deny
-
View
denies the user access to view the item.
-
Edit
denies the user the ability to edit the item.
-
Delete
denies the user the ability to delete the item.
To modify permissions for settings and content, click the icons to select or deselect them:
- If the icon is grey, the user does not have that permission (whether it’s allow or deny).
- If the icon is highlighted, the user has that permission (whether it’s allow or deny).
Remove a user from the permissions list:
- Click Settings
> Application > Workflow from the main menu.
- Click the status/outcome > go to the Permissions section.
- Select the user you want to remove by ticking the corresponding checkbox.
- Click Delete.
